For company fleets

Your employees no longer have to ask HR for their papers.

AllinKey turns the key ring of every company vehicle into a permanent document access point. Management uploads the registration card and insurance certificate to the secure space. The employee scans, types their PIN, reads the right paper.

The problem

A 7 p.m. traffic stop shouldn't turn into a call to management.

Your employees on the road need the vehicle's documents at any hour. When they don't have them, your team answers — usually outside its own working hours.

Evening traffic stopThe employee calls management, for lack of papers.
Weekend or abroadNo office open to resend the certificate.
Insurance renewedImpossible to know which vehicle still has the old version.
Driver rotationThe vehicle changes hands; the papers don't follow.
What changes

A relieved HR team, autonomous employees.

Fewer HR requests

The “can you send me the registration card” messages disappear: the document lives on the key ring.

Access at any hour

Nights, weekends, trips abroad: the employee finds the documents without waiting for an open office.

Compliance maintained

Registration renewed, fleet insurance updated: you swap the PDF, the fob doesn't move.

Simple rotation

A vehicle changes drivers? The fob stays, you adjust the PIN. No data migration.

What your CIO will ask

Answers ready for the CIO and the DPO.

AllinKey separates the physical QR, the public link, the PIN and the documents — and requires no internal portal, no account provisioning, no first-line support.

  • Data hosted in the European Union, encrypted at rest
  • The QR alone grants nothing — PIN required, lockout after 5 tries
  • Technical logs kept 12 months at most
  • No app to roll out on phones
How it works

Three gestures, one reflex.

Step 1

Bind

Every company vehicle gets its fob, bound in 30 seconds from the dashboard.

Step 2

Upload

The registration card and fleet insurance certificate go into the vehicle's space.

Step 3

Hand over

The PIN goes to the employee with the keys — and changes at every rotation.

Agency dashboard

The whole fleet, readable by operations.

Every vehicle space shows its documents, its PIN and its storage — replacements and removals take seconds.

FAQ

Frequently asked questions

Do we have to roll out an app on employees' phones?

No. The page opens in the browser after scanning the QR. There is no app to deploy, no account to provision, no password to reset.

How do we handle a driver change?

The fob stays with the vehicle. You change the PIN from the dashboard and give it to the new driver. No data migration.

Is the data hosted in Europe?

Yes. The servers used to store the documents are located within the European Union and the data is encrypted at rest.

How many documents fit per vehicle?

Each space holds 75 MB, which easily covers the registration card, certificate, contract and a blank accident form as PDFs.
